3. Cancellation & Rescheduling​

Client Cancellation:

  • Cancellation 30+ Days Before Start Date of Event: Full Refund of Deposit

  • Cancellation 14-29 Days Before Start Date of Event: 50% of Deposit Partial Refund

  • Cancellation within 13 Days of Event Start Date: Deposit is Non-Refundable

Rescheduling: ​​

  • Rescheduling 30+ Days Before Start Date of Event: No Additional Charge

  • Rescheduling 14-29 Days Before Start Date of Event: 25% of Deposit Rescheduling Fee

  • Rescheduling within 13 Days of Event Start Date: 25% of Total Balance Rescheduling Fee

4. Intellectual Property & Usage â€‹

  • All footage and media remain the property of KingKaden Media unless otherwise agreed upon in writing.

  • The client is granted a limited, non-exclusive license to use final deliverables for personal use, social media, or internal promotion (unless otherwise stated)

  • By signing this agreement, the client grants KingKaden Media the right to record, photograph, and use the likeness of all individuals present at the event, unless otherwise specified.

  • Client grants KingKaden Media permission to capture and use behind-the-scenes or general event footage and photos for promotional purposes, unless otherwise specified.

5. Liability and Insurance 

  • KingKaden Media shall not be held liable for damages, delays, or failure in performance resulting from causes beyond its reasonable control, including but not limited to weather, power failure, venue restrictions, governmental restrictions, natural disasters, or equipment malfunctions.

  • Client acknowledges that KingKaden Media is not a licensed or insured production company (unless otherwise stated in client's agreement). By signing this agreement, Client accepts all risks associated with the use of temporary production equipment, staging, and electrical systems. KingKaden Media strongly encourages the Client and/or venue to carry their own liability insurance for the event.

  • All equipment provided will be operated exclusively by KingKaden Media personnel unless otherwise agreed upon in writing. Any damage to equipment caused by unauthorized use or negligence by Client, venue, or attendees will be the financial responsibility of the Client.

  • In the event that any equipment becomes damaged or inoperable during the event, for any reason other than KingKaden Media’s negligence (eg. guests, staff, venue conditions), the cost of repair or replacement will be the sole responsibility of the Client

6. Event Set-Up and Takedown

  • Client agrees to coordinate with the venue to ensure KingKaden Media is granted adequate access for equipment setup and teardown. This includes securing a minimum of # hours of setup time prior to the start of the event. Client will work directly with venue management to accommodate the logistical needs of the production team and ensure all rental equipment can be safely and efficiently installed and removed. Additional fees may apply if the venue does not have sufficient networking or power capabilities.

  • Client must ensure KingKaden Media has adequate access to the venue including entry permissions, parking, power, and early arrival for setup.

7. Deliverables 

Delivery Timeline: 

  • eg. Event Recap Video: Delivered within 14 business days

  • eg. Event Photos: Proofs Delivered within 5 business days

Revisions: 1 Round of Basic Edit-Based Revisions is included. Additional revisions can be requested for an additional fee.

Archival & Storage: All raw footage, if applicable is retained for a minimum of 7 days unless a seperate agreement is made. Additional storage or file transfers may incur a fee.

Media Project Terms

1. Delivery Timeline​

  • Standard Delivery is typically 14 Days after the Receipt of ALL Files/Shoot Date, but delivery timeframes may differ to do demand and extenuating circumstances. Your delivery timeline will always be listed on the provided quote.

  • Expedited Delivery (eg. same-day or next-day of file receipt/shoot date) is available upon request and may be subject to additional fees. 

  • Revisions are not subject to the same delivery timeline and may take additional time to complete. Expedited Delivery is available upon request and may be subject to additional fees.

  • Delivery timelines begin once all required materials (eg. logos, clips, music preferences, scripts) are received. Delays in client submissions may result in adjusted delivery dates.

  • Some projects may require an extended delivery deadline. KingKaden Media will always specify your expected delivery date on your quote.

2. Cancellation & Refund Policy​

  • For most projects*, cancellations within 12 hours of signing a quote are eligible for a full refund. 

  • After 12 hours, all projects are considered final and non-refundable due to time reserved and project planning.

  • Rescheduling a shoot date within 5 business days may be subject to a $50 change fee depending on the project and the scenario. 

  • *Projects with a same-day, one-day, or two-day turnaround are not eligible for a refund within our 12-hour policy.

3. Payment Terms​

  • KingKaden Media may require a deposit to secure the project and begin pre-production depending on the client and nature of the project. ​

  • The remaining balance for the project is due on the release of the first draft of the project which is also when the unwatermarked version of the file will be released to the client. 

  • Final deliverables will not be released until the remaining balance is paid in full. All drafts are watermarked until payment is completed

  • Late Payment: A $10 late fee will apply for each day the final payment is delayed past the balance due date. 

    Late Delivery Guarantee: We're confident in our turnaround times, so if we miss our promised delivery window, we’ll refund $10 per day the project is delayed past the agreed deadline (until we reach 50% of the project's cost or $100, whichever comes first.), in most cases automatically. If our late delivery guarantee is active on your project, you'll see a note on your quote.

4. Revisions

  • Most projects include 1 round of revisions focused on edit-related changes (eg. timing, text correction, or clip swaps)

  • Clients must submit revision notes in one consolidated message or document or through the Dropbox Replay platform. Open-ended or subjective change requests (e.g., “make it more fun”) may be subject to additional billing if not actionable.

  • Major structural changes, additional versions, refilmings, or revisions beyond the first round will be billed and quoted separately.

  • Clients must submit revision requests within 14 days of receiving the first draft.

5. Liability and Usage Rights

  • All media content created by KingKaden Media is protected under copyright law.

  • The Client is granted a non-exclusive, royalty-free license to use the final content for promotional or commercial use, as described in the project scope.

  • KingKaden Media retains ownership of all raw footage and retains the right to use final content for its portfolio, website, or promotional materials unless the Client requests otherwise in writing or on our file claiming portal.

  • KingKaden Media is not responsible for injury, equipment damage, or loss caused by unsafe conditions at the shoot location. It is the Client’s responsibility to ensure that the location is safe and accessible.

  • In the event of gear damage caused by guests or environmental factors under the Client’s control, repair/replacement costs will be billed accordingly.

  • The Client is responsible for obtaining proper permissions for anyone filmed or photographed during production.

6. Content Storage 

  • Project files and deliverables will be stored for a minimum of 7 days after final delivery. After this period, KingKaden Media is not obligated to retain, retrieve, or re-edit files unless otherwise arranged.

  • Raw footage is not included in project deliverables unless specifically agreed upon. If requested, a raw footage delivery fee may apply.
